Arrival Procedures

Please inform us of your flight arrival details (flight number, date and time) at the Kuala Lumpur International Airport (KLIA) or KLIA 2 at least ten (10) days before arrival.

The Malaysian Immigration Department requires Widad University College staff to escort students through the passport counter.

If we do not receive any notification, the students may have to wait for Widad University College staff at the airport. If this happens over a weekend or public holiday, there may be no staff available until the next working day. In such cases you may need to stay in the KLIA transit hotel located at the airport.

Upon arrival at Widad University College, the International Centre collects the passport for endorsement by the Malaysian Immigration Department. Endorsement involves issuance of a one-year multiple entry sticker in the passport. Endorsement takes up to four (4) weeks; as such you would not be allowed to travel out of Malaysia during this period. Widad University College will issue official identification documents to students.

Please ensure that your passport has more than one blank page and is valid for more than one (1) year from the intake date.


Pre-Arrival Procedure To Widad University College

  • Step 1: In Home Country

  • Students must ensure that the Airport Arrival Form with the following information email to international@widad.edu.my at least ten (10) working days before arriving in Malaysia:-

    • Date and Time of departure from country origin
    • Date and Time of arrival in Kuala Lumpur specify if it is the KL International Airport (KLIA) or KLIA 2
    • Flight number and airline.
  • Step 2: Preparation for Pre-Departure

  • Before the departure, students must bring along the following important documents:-

    • High school certificates, passport size photographs, medical information, spare photocopies of passport, etc
    • Passport (which is valid for at least twelve (12) months before expiry); and original copy of Visa Approval Letter or Valid Entry Visa (for countries that require visas to enter Malaysia)

    It is advisable that money should be brought into Malaysia in Travellers Cheques. Please ensure that your money can cover at least the first two (2) months' expenses such as food, accommodation and books.

    Important documents to bring along:

    • Flight Ticket
    • Driver's License
    • Acceptance Letter and Visa Approval Letter
    • Original Academic Qualification transcript - in English (compulsory)
    • Receipts / proofs of payment for all fees

    Please make a copy of your documents.

    Important personal items to pack:

    • Personal Items
    • Mobile phone
    • Adapter plugs (220 - 240 volts / 50 cycle AC system.)
  • Step 3: Fill Up the Disembarkation Card (Arrival Card)

  • Please fill up the Disembarkation Card which will be provided by the airline. The card can also be obtained in the airport arrival hall. You will need to keep the card with you.

  • Step 4: Arrival at the Airport

  • Upon arrival at KLIA, please find your way to the Immigration section. If you are confused please approach any uniformed airport staff for assistance.

  • Step 5: At the Airport Immigration Counter

  • Arrival at the KLIA or at KLIA 2: When arriving at the Immigration Counter, show the Immigration Officer your Student Pass Approval Letter from Widad University College. Students need to wait for a Widad University College staff to meet/ escort them through the immigration desk.

    Important Notes:-

    • The Widad University College representative will then accompany the student to the Immigration Counter for clearance
    • Students are reminded that Immigration Officer WILL NOT release the student without the presence of a Widad University College representative to escort the student out of the airport
    • Thus, prior notification of arrival is very important. Only students with Visa Approval Letters may be cleared from the airport, otherwise our staff will be unable to clear them.

Post Arrival Procedure to Widad University College

  • Step 1: Report to International Centre

  • The student must report to the Widad University College International Centre upon arrival or the following day:

    • Briefing - Students will be briefed by staff of International centre regarding Malaysia and its cross cultural background and any other pertinent matters
    • Other Matters - A Bank Introduction letter will be given for opening a bank account.

      Students are given about one (1) week to settle such matters after which they must hand in their passports for endorsement by the Immigration Department.

    Students are advised they would not be allowed to travel out of Malaysia during this time.

  • Step 2: Orientation and English

  • It is COMPULSORY for students to attend the orientation scheduled. Important information is communicated for studies in Malaysia.

  • All students are required to sit for the English Assessment Test (EAT).

  • Step 3: Submission of Passport For Student Pass Endorsement/ Extension

  • New students MUST submit their passport for endorsement together with visa charges as these are payable to the Malaysian Immigration Department.

  • Students are provided with a certified true copy of passport and a receipt as temporary identification pending the endorsement process.


Emergency Management

The students will be given certain contact numbers in an event of emergency. The students can contact the person in charge to help them to handle the problem or emergency cases.


Other Documents Required

If you have previously studied in another higher education institution (college or university) in Malaysia, additional documents needed are:

  • Release Letter (from former institution) and
  • Attendance Report (must be at least 80% attendance).
